PLASTICS seeks an Executive Assistant to the President & CEO to enhance organizational and departmental excellence by creating, implementing, and sustaining systems that support the President & CEO with accomplishing the mission, goals, and objectives of PLASTICS. The Executive Assistant is a mission-driven, multi-tasker that simultaneously focuses on the President and CEO’s strategic priorities and stays focused on important details and execution. The Executive Assistant ensures prompt and effective communication with Board members, PLASTICS’ members and staff, and internal and external stakeholders on all matters pertaining to the President and CEO. The Executive Assistant also serves as the point of contact to PLASTICS’ Board of Directors for all board meetings logistics, preparation, and execution of board meetings and communications throughout the year. The Executive Assistant provides high-level administrative support to the President & CEO along with planning, organizing, managing, and executing high-level meetings.

Responsibilities:

  • Manages the President & CEO’s calendar, email, calls, meetings, mail, expenses, and travel schedule.
  • Receives incoming communication on behalf of the President and CEO and reviews contents, determines importance, and summarizes and/or distributes content to appropriate staff.
  • Composes and prepares correspondence, reports, and other complex documents that are confidential.
  • Effectively manages all meeting, correspondence and business files for the President & CEO and the Office of the President.
  • Manages logistics for all meetings including set-up of meeting rooms, audiovisual, and catering.
  • Arranges detailed travel plans, itineraries, and agendas including compiling documents for travel-related meetings.
  • Manages business expenses for the President & CEO.
  • Continuously keeps the President and CEO well informed of upcoming commitments, responsibilities, and follows up appropriately.
  • Provides leadership to build relationships crucial to the success of PLASTICS.
  • Provides a bridge for smooth communication between the Office of the President and internal departments; demonstrating leadership to maintain credibility, trust and support with the leadership team.
  • Acts as a liaison for the President with the Board of Directors, members and staff, and stakeholders.
  • Collaborates with the Events & Marketing team to plan and manage the execution of Board of Director and Governance meetings – presents preliminary site selections, negotiate room rates, food & beverage, and meeting costs, negotiate and review and approve contracts, and site inspections; plans and manages on-site activities including social and recreational events; prepares Board and Governance information for microsite on PLASTICS’ website including preparing the agendas for Board of Directors meetings and programs; prints and distributes all Board information; prepares and distributes Board meeting minutes; partners with the Events & Marketing team to reconcile and process invoices.
  • Plans and implements all phases of the Nominating Committee meetings including logistics for the meeting, collecting confidential data, preparing background reports, creating the agenda, preparing and distributing meeting minutes.
  • Coordinates and implements all phases of balloting for PLASTICS’ Bylaws and policy changes that require membership approval.
  • Adheres to compliance with applicable rules and regulations set in PLASTICS’ Bylaws regarding board and board committee members.
  • Coordinates the Officers and Board of Directors member elections including preparing and distributing ballots.
  • Works with the executive leadership team to prepare and distribute ballots for the Industry Segment Councils election of members.
  • Prepares well written reports for the Inspectors of Election chairman.
  • Partners with the President & CEO and Finance team to develop and manage the budget for the Office of the President.
  • Prioritizes conflicting needs, handles matters expeditiously, and follows-through on projects to successful completion, often with deadline pressures.
  • Handles special projects assigned by the President & CEO including conducting research and preparation of reports, preparation of documents and business correspondence.

Education & Experience:

  • Bachelor’s degree in a related field or combination of education and related experience.
  • A minimum of seven years’ experience in an executive office/senior management supporting the C-Suite; trade association experience preferred.
  • Demonstrated experience planning high-level meetings for Board members, executive management, senior leaders, council, and committee members.
  • A track record of serving as a trusted member of a senior organizational team.
  • Experience with accounting software’s (e.g., Concur and Anybill preferred) and association and event management databases (e.g., iMIS, Bizzabo, and Map Your Show preferred).

Knowledge, Skills, & Abilities:

  • In-depth understanding of C-Suite structure and organization.
  • Excellent written and verbal communication including presentation skills with diverse stakeholders.
  • Self-motivated with attention to detail and excellent analytical, strategic, problem-solving, organizational, emotional intelligence, and interpersonal skills.
  • Ability to work well autonomously and collectively to build consensus amongst internal and external stakeholders.
  • Ability to provide excellent customer service to internal and external stakeholders.
  • Ability to prioritize and work on a variety of projects simultaneously, adjust to changing priorities, meet deadlines, and deliver results.
  • Ability to possess a high level of discretion, handle confidential and sensitive information.
  • A demonstrated ability to lead people and get results through others.
  • An earnest work ethic and dedication to collective success of the organization in service of our membership.
  • A commitment to promoting and working in an inclusive and diverse environment with a variety of colleagues from multiple backgrounds.
  • Working knowledge of Microsoft Office applications, Outlook, Word, Excel, and PowerPoint required.
  • Ability to travel (>20%).
